Community College Gets Schooled on Paperwork

The Personnel Department of a community college serving 15,000 students in the Queens, NY area

Challenges:

The college was needing an entire revamp of the Personnel Department’s document processes. They needed to be able to scan various types of forms such as I.D.s, resumes, etc., then digitize these documents and save them in a shared folder via a drive.  They also needed to be able to access the documents easily upon request, and they required 10 metadata fields.

Solution:

  • 6 PaperStream Capture Pro Workgroup Licenses
  • 6 Fujitsu fi-7260 Document Scanners

The scanners and software are allocated across different locations on campus.  The fi-7260 scanner has a flatbed component so it was the right choice for odd-sized paper.  With PaperStream Capture Pro’s ability to capture up to 20 metadata fields, the college is able to extract their required fields easily.  They will convert the scanned images into searchable PDFs and use Database Lookup to find the documents and data when they need to.
