Water Company Eliminates Backlogged Records

A regional water utility company in Colorado that provides water to 427 homes

Challenges:

The utility company has never digitized a single document in the last 40 years. They have hundreds of thousands of documents being stored, dating all the way back to 1976.  Going forward, they want to digitize each document that comes in, digitize the backlogged records, and free up storage space.

The utility company will utilize batch processing and sticky fields to scan large volumes of documents quickly, and pull data from them.  They will capture 4 metadata fields so that they can organize in folders first by year, then by home owner’s last name, lot number and block number.  The files will then be released to a Windows file folder on their network.  This will not only reduce the need for physical storage space, but it will also make searching and finding records much more efficient.  The utility company expects to have all of the backlogged files completely scanned within a year.
